When an admin changes roles or leaves your team, figuring out everything they have access to can be its own project. Which lists do they manage? Which workflows? Which forms are they a collaborator on? Up until now, you had to click through every resource one by one, hoping nothing slips through.
That gets a lot easier with today’s release!
Find what an admin can access, in one filter
Your lists, workflows, and forms indexes now include an Access filter. Pick an admin, pick the access level you care about, and you'll see every resource where they match.
:quality(75))
A few things worth knowing:
You can filter by one admin at a time.
The access levels match whatever the resource supports, listed from highest to lowest, with "Any" at the bottom. We default to the highest level.
Want to catch access that comes from a permission group too? Check off Include access via permission group to pull in resources where someone has access through their permission (like Editor or Manager), not just direct collaborator access. Handy for audits, since folks can get access by their permission group rather than individually.
Even better with bulk actions
Pair this with the bulk actions to make quick work of audits and hand-offs. Need to add someone as a manager to a departing admin’s workflows, or remove a departing admin from every form they can edit? Filter by their access, select them all, and update in a few clicks instead of visiting each one.
A note about visibility
This filter only surfaces resources you also have access to. And because lists, workflows, and forms are all collaborator-based, no admin role today gives a complete view of someone's access across all resources. Even Organization Administrators only see the resources they've been added to.
We know this is a real pain for comprehensive audits, troubleshooting, and offboarding. We're actively thinking about how to give you a fuller picture, and if you've hit this friction, we'd love to hear from you.
