This feature is slowly being released over the next few weeks.

You can now control who has access to each calendar within your account, so sensitive schedules stay with the right people and everyone gets a focused view of what matters to them. To set this up, open the calendar settings page where you’ll see the new access icon on the right side of each calendar. Administrators can click on that button to add specific people, share it with everyone, or keep it private. If you have haven't set up multiple calendars yet, administrators can do that by clicking "Add calendar."

People who don't have access to a calendar won't see those events anywhere in Calendar. If someone follows a direct link to an event they don't have access to, they'll land on a friendly "no access" page with a button to request access. That sends an email to your event administrators so they can grant access without anyone having to track down who to ask.

A few things to note

  • Event administrators always have access to all events, and can manage who has access to each calendar.

  • Event owners, managers, and approvers always keep access to events they're directly tied to, even if it’s on a calendar they don’t have access to.

  • All of your existing calendars are currently set to be accessible to everyone in Calendar. You can manage access at any time.

  • Newly created calendars default to restricted until you share them with others.

Why this matters

  • Keep a private staff calendar with budget meetings, leadership offsites, or PTO visible only to your pastoral team.

  • Hide the facilities maintenance calendar from ministry leaders so they aren't wading through HVAC service windows to find their own events.

  • Spin up a new ministry calendar as private, then share it as you figure out which volunteers and staff need to be looped in.

  • Quiet down the views for part-time staff and volunteers who really only need to see their own ministry's events.

This update is purpose-built to empower ministry teams to work together within Calendar by making it easier to share events with those people that should have access to them. It’s been a common request for quite some time now, and we’re so excited to finally deliver it to our customers!
